Before you start

Prepare your two files

1. GSTR-2B

Download the Excel file from gst.gov.in (Services, Returns, Returns Dashboard, GSTR-2B, Download, Generate Excel file) and add it exactly as downloaded. Do not edit it.

2. Purchase register: choose one of two ways

Option A · Quickest

Upload your software's export as it is

For Tally, Busy, Marg, Zoho, SAP or any ERP. Export the purchase register (or a combined GST report) to Excel and add it without changing anything.

The export must show, in some column:

  • Supplier GSTIN
  • Supplier's invoice no. and date
  • Taxable value
  • IGST, CGST, SGST

The tool finds these columns itself, leaves out sales, returns and cancelled entries, and shows you what it picked up. In Tally, switch on Supplier Invoice No., Supplier Invoice Date and GSTIN/UIN before exporting.

Option B · Always works

Fill our 9-column template

For books kept in Excel, or if Option A says columns are missing. Paste your purchase invoices under these exact headings:

What goes in each column

For both ways

  • Same months as the GSTR-2B.
  • Invoice no. means the supplier's bill number as printed (for example G/306), not your own voucher or GRN number.
  • In the template: one row per purchase invoice, no title or totals rows, no credit or debit notes, amounts as plain numbers, dates as DD-MM-YYYY.

GSTR-2B Reconciliation

Compare your GSTR-2B with your purchase register and see, invoice by invoice, what is booked, what is still pending, and what is over-booked.

Your files are read inside this browser and are never uploaded to any server.

Reconcile

Differences up to the tolerance count as matched; rounding off up to ₹1 is always allowed. A lower strictness links more differently-spelt names automatically; 75 to 85 works well.

How to get the two files

GSTR-2B

On gst.gov.in, log in and go to Services, Returns, Returns Dashboard. Select the financial year and month, open GSTR-2B and download the Excel file. Upload it as it is; the tool reads the B2B sheet.

Purchase register

Either upload the export from your software as it is (it needs supplier GSTIN, supplier invoice no. and date, taxable value and tax columns), or use our template: 9 columns headed Supplier GSTIN, Supplier Name, Invoice No, Invoice Date, Taxable Value, IGST, CGST, SGST, Cess. Open the File format guide at the top for what goes in each column.

In Tally, open the Purchase Register for the same month in detailed view, turn on Supplier Invoice No., Supplier Invoice Date and GSTIN/UIN in the configuration, and export to Excel. Option names vary slightly between Tally versions.

Any other software works too. The file needs a heading row with columns such as Party Name, GSTIN, Invoice No, Invoice Date, Taxable Value, IGST, CGST and SGST. Headings can be in any order and on any row, and tax split across several columns (for example CGST @9% and CGST @6%) is added up.

File types

Excel (.xlsx) and CSV. For an old .xls file, open it in Excel and save it as Excel Workbook (.xlsx) first.

What is covered

B2B invoices in GSTR-2B, including amended invoices. Credit and debit notes are left out on both sides. Invoice numbers are compared ignoring spaces, symbols, leading zeros and the financial-year tag, so INV/0460, INV-460, 460/26-27 and Gst-460 are read as the same invoice when the supplier and amounts agree. Invoices split across tax rates or item lines are totalled per invoice.

If your purchase register is a combined GST report that also has sales, the sales rows are recognised from the entry-type column and left out automatically, along with cancelled entries and reverse-charge self-invoices for unregistered suppliers.
