GSTR-1 Sales Reconciliation

Before you start

Prepare your two files

1. Sales register: choose one of two ways

Option A · Quickest

Upload your software's export as it is

Export the sales register (or a combined GST report) from Tally, Busy, Marg, Zoho or your ERP to Excel and add it without changes. In Tally use the columnar Sales Register, so each sales and tax ledger has its own column.

It must show, in some column:

  • Invoice / note number and date
  • Customer GSTIN (blank for B2C)
  • Customer state or place of supply
  • Taxable value, or one column per sales head (Sales GST 5%, Sales GST 18%, Exempt Sales…)
  • IGST, CGST, SGST (one column, or one per rate)
  • Whether it is an invoice or a credit note

Option B · Always works

Fill our 12-column template

For books kept in Excel, or if Option A reports missing columns. Use these exact headings in row 1:

What goes in each column

2. GSTR-1: invoice-wise, as filed (JSON)

On gst.gov.in: Services, Returns, Returns Dashboard, choose the month, GSTR-1/IFF, Prepare Offline, Download, Generate JSON file to download. After a few minutes a .zip is ready; download it. Do this for each month and add all the .zip files together. Do not unzip or edit them.

Not the GSTR-1 summary PDF, which has only totals. A GSTR-1 Excel workbook in the offline-tool layout (sheets b2b, b2cl, b2cs, exp, cdnr) is also read; tax is then worked out from the rate.

Sales heads

After you add the register, the tool lists every money column under Sales heads & columns and guesses what each one is: a taxable sales head and its rate, exempt / nil / non-GST, export, freight, discount, a tax ledger, or a total to ignore. Correct any guess once; it is remembered on this device for next month’s export.

GSTR-1 Sales Reconciliation

Check your sales register against the GSTR-1 you filed: month by month, invoice by invoice, and B2C sales state by state. Tally registers with separate sales heads for each rate are read as they are.

Your files are read inside this browser and are never uploaded to any server.

Reconcile

How the reconciliation works

Month-wise

Output tax in your books (by invoice date, credit notes deducted) is set against the tax in GSTR-1 (by the month of the return it was filed in) . The running difference shows whether a gap is only timing, such as an invoice reported a month late, or a real shortfall.

Invoices and notes

B2B invoices, B2C invoices above ₹1 lakh to other states, exports and credit/debit notes are matched one by one on the document number. The tool flags missing documents, value differences, a wrong customer GSTIN and documents reported in a different month. Amendments in GSTR-1 replace the original.

Sales heads

Registers from Tally and most ERPs have one column per sales ledger. Each column is given a role. An invoice with goods at 5% and 18% becomes two lines, and its tax is split between them: first by the rate in the tax ledger's name, otherwise in proportion to value × rate. Exempt, nil and non-GST heads are kept out of the invoice's taxable value and compared with GSTR-1 Table 8.

B2C by state

GSTR-1 reports small B2C sales only as totals per place of supply and tax rate, so these are compared at that level, month by month.

Not covered

GSTR-3B, advances (Table 11) and HSN summary. Reverse-charge supplies in GSTR-1 are left out of the tax totals because the customer pays that tax.
